We are seeking a highly organized, detail-oriented professional with exceptional English communication skills to support the COO in managing calendar schedules and email correspondence. This role is vital to ensuring the smooth daily operations of the organization by maintaining clear communication, prioritizing tasks, and streamlining administrative processes.
Experience in the Managed Services Provider (MSP) industry is highly preferred.
Key responsibilities:
● Calendar Management: Maintain and coordinate the COO’s schedule, organizing meetings, prioritizing appointments, and ensuring efficient time management.
● Email Communication: Monitor and respond to emails on behalf of the COO, drafting professional and articulate correspondence, prioritizing critical communications, and maintaining an organized inbox.
● Meeting Support: Prepare detailed agendas, attend meetings, and take comprehensive notes, tracking follow-up tasks and deadlines with precision.
● Task Coordination: Assist with tracking action items and ensuring completion of priority tasks, communicating updates clearly and effectively.
● Administrative Assistance: Provide support for scheduling, documentation, and day-to- day operations to enhance the COO’s productivity.
Qualifications:
● Fluency in English: Native-level proficiency in written English and good verbal English skills. Strong written grammar and clarity are essential.
● Proven experience in executive support, particularly in calendar and email management.
● Exceptional organizational and multitasking abilities, with outstanding attention to detail.
● Proficiency with Zoom phones and meetings to facilitate communication and scheduling.
● MSP Industry Experience: Familiarity with Managed Services operations, terminology, and workflows is highly desirable.
● Positive and proactive approach, with adaptability to thrive in a fast-paced environment.
